Role Overview & Responsibilities

Job Title: Commercial Admin
Reporting to: Head of Commercial (UK)
Location: London (Falcon Court) 3 days

Key Responsibilities:

  • Take part on a daily basis to ensure Purchase order process/ Client PO process is followed
  • Commercial support: Have a clear understanding of the commercial department reporting requirements process and functions to ensure overall completion of data on the databases and understand timescales, as dictated by each Projects workflow.
  • Ensures all po documents are appropriately stored to allow easy access by the team
  • Client Systems : Making sure that all VR’s, IA’s and FA’s are submitted as per QS instructions.
  • Internal Systems: Updating databases with relevant job coding and purchase orders.
  • Close working with Commercial/ Governance team to maximize working efficiencies. Suggest improvement opportunities where required, to help streamline process.
  • Keep up to date with prepayments & accruals highlighting any aged items to Head of Governance on a weekly report.

Role Requirements:

  • Work Standards: Produce high quality and timely data accuracy that is appropriate to the expectations of other members of staff and suppliers.
  • Working Relationships: Work well with other staff in a multi-disciplinary environment towards common project objectives, despite geographical variances
  • Communication: Effective and timely oral, written and electronic communication with other staff and suppliers
  • Reporting: Work closely with Commercial department to ensure that all Purchase orders are issued in a timely and effective manner
  • Work Practices: Observe and practice all relevant Health and Safety requirements as described by the Company H&S Manual and other relevant procedures, policies, regulations and legislation

Key Working Relationships:

  • Internal: QS on selected project. Head of Governance.

Preferred Skills & Experience

  • Previous administrative support experience
  • High attention to detail
  • Excellent communicator
  • Actively to build and foster relationships – internal & external.
  • Good IT skills
  • Fibre build project commercial experience advantageous.

Qualifications:

  • Previous experience within an administrative role
  • Excellent interpersonal skills and ability to work with remote teams.
